Frequently Asked Questions
Workspaces are shared environments where teams collaborate, upload files, and build shared knowledge bases. Departments or projects maintain their respective workspaces with unique permissions and file sets, ensuring data separation -- privacy within the department or project.
Simply select Workspaces using the tenant admin or admin dashboard (left side) and tap the “New Workspace” button. QuerySmith™ will prompt you to name the workspace, and invite team members. Admins can assign user permissions and upload data to the workspace’s knowledge bases.
Only invited members can access a workspace. Access levels depend on user permission level.
Workspace admins, assigned by your organization, control member access, including who can upload files, view content, or modify settings. Within the workspace there are two permission levels, manage and interact. Users with Manage permissions will be able to add/delete knowledge bases and files within the individual workspace that they're granted permission to, while users with Interact permissions can only use the workspace's knowledge in the QuerySmith™ platform.
Files remain contained within their respective workspaces to maintain data integrity. To share across teams, add the team members to the exisiting workspace so they can accesss the files. This also helps to save storage within your tenant.
Tenant Admins and Admins can rename Workspaces from the Workspace Settings page. Only the Admin that created the Workspace is able to delete it. Deleting a workspace permanently removes all associated files and history. Before deletion, QuerySmith™ prompts the Admin to reassign or move any Knowledge Bases and users to another Workspace. Associated chats are retained in read-only mode so users can review past conversations, but they cannot continue or modify them after the workspace is deleted.
